About the role:
We are looking for an experienced Executive Assistant to provide high‑quality administrative support to senior lawyers or discrete teams of lawyers within our Legal function. This is a fast‑paced, highly collaborative role where consistency, professionalism and sound judgement are critical.
The role plays an important part in ensuring the Legal team operates efficiently and in a consistent way. Moving forward, all Executive Assistants will perform a common set of core duties across the function, including active management of purchase orders and legal spend. Refresher training will be provided to support capability uplift and confidence where required.
Reporting to the RTAL Chief Counsel and senior lawyers within the Brisbane Legal team, you will:
Diary management: Provide administrative support to senior lawyers or discrete teams of lawyers, including proactive diary management, coordination of meetings and events, and handling confidential correspondence.
Travel: Arrange and coordinate travel and logistics for senior lawyers or discrete teams of lawyers, including offsite meetings and associated itineraries.
Spend management (POs and expenses): Manage expense processing (including legal spend and travel expenses), purchase order requisitions and ongoing spend management. This includes budget management at a matter level (e.g. PO headroom), monitoring ongoing legal spend, and liaising with external law firms in relation to costs.
Onboarding: Assist with the onboarding and integration of new team members, ensuring smooth induction processes, IT and system access, and training on relevant tools. Maintain and update intranet pages, directories and distribution lists as required.
Communication support: Assist with the preparation, formatting and coordination of reports, presentations and internal communications using advanced Microsoft Office skills.
General administration: Provide general administrative support as required, contributing to the effective and consistent operation of the Legal team.
What you’ll bring:
Prior experience in an Executive Assistant or senior administrative role, ideally supporting legal or professional services teams
Diplomatic communicator with strong organisational skills with the ability to manage relationships, competing priorities and high volumes of work
High attention to detail and a strong sense of accountability
Experience managing purchase orders, expenses and budget tracking, or a willingness to build capability in this area
Advanced capability in Microsoft Office applications and related business systems
Strong written and verbal communication skills, with the ability to engage effectively at all levels
Sound judgement, discretion and the ability to handle confidential information appropriately
