About the role
We are looking for Divisional Secretary to join our Pilbara Mines Paraburdoo team. This is an exciting opportunity to support high-performing teams and our current operations.As a Divisional Secretary, you will be expected to demonstrate the highest levels of professionalism, discretion, and integrity. Your role will be critical in fostering strong working relationships across the organisation, while developing a comprehensive understanding of our systems, processes, and operational frameworks.Reporting to the General Manager, the role will see you:
Providing high-level administrative support to the division’s leadership team
Managing complex calendars and scheduling for the General Manager
Coordinating travel arrangements and preparing detailed itineraries for both domestic site visits and international travel
Organising and facilitating meetings, workshops, events, and conferences—such as divisional team days, service awards, and end-of-year functions
Processing financial transactions including raising purchase orders, managing invoices, and reconciling corporate credit card expenses
Collaborating closely with business advisors and administrative professionals across Rio Tinto Iron Ore (RTIO) to ensure seamless operations and aligned priorities within the division and broader business
What you’ll bring

Proven experience in a high-level administrative or executive support role, preferably within a complex, fast-paced corporate environment
A high degree of discretion and professionalism in handling confidential and sensitive information
A proactive and positive mindset, with a genuine commitment to fostering a strong and collaborative team culture
Exceptional organisational skills, with the ability to manage competing priorities, adapt to changing demands, and operate autonomously with minimal supervision
Advanced proficiency in Microsoft Office applications, including Outlook, Word, and PowerPoint
Outstanding written and verbal communication skills, with the ability to engage effectively across all levels of the organisation
Meticulous attention to detail, ensuring accuracy and consistency in all aspects of work

Where you’ll be working
Located 80 kilometres southwest of Tom Price, Paraburdoo rests on the traditional lands of the Yinhawangka people. The town is surrounded by some of Western Australia’s most stunning landscapes and is renowned for its natural beauty, diverse wildlife, and close proximity to Karijini National Park.
Paraburdoo is a gateway to adventure and exploration, and the town is proud of its reputation as a safe, welcoming community and an ideal place for young families to live and thrive.
Paraburdoo offers a wide range of local amenities and leisure facilities, including a domestic airport, hospital, community centre, childcare centre, primary school, parks, and various sporting venues.
The Paraburdoo Sports, Fitness and Community Complex features state-of-the-art facilities such as an Olympic-size swimming pool, indoor basketball court, and a fully equipped gym. Recent upgrades have expanded the camp facilities to 762 rooms.
With the opening of the Western Range at Paraburdoo Operations, the site now has the capacity to produce up to 25 million tonnes of iron ore annually supporting the longevity of the Paraburdoo mining hub for up to 20 years.
